The process of maintaining professionalism while encoding and decoding a message is the core aspect of business communication. It helps in the achievement of goals through the application of effective communication in the negotiation process. In this report, two areas of communication skills would be discussed in detail. Those areas are - the organisational communication and team communication.
Organisational communication is identified as the process where individuals working at a same workplace exchange messages so that common or shared goals are achieved. The aim of organisational communication is that it helps in the accomplishment of tasks while defining the roles and various responsibilities of the sales process and production system. It also helps in the assimilation of any change required channelizing it through the methods of adaptation and creativity among individuals and organisational activities. The organisational communication’s major aim is to maintain daily activities within the framework of workplace policies and legislation along with developing human relationships to enhance the workplace productivity. The objectives of organisational communication are as follows.
In this article, effective communication is recognised as the building block of a successful establishment in the economy. A deeper knowledge of communication allows to overcome the barriers that might result in ineffective organisational communication. The importance of this at a workplace is immense as it promotes motivation among employees on a large scale. It also acts as the source of information for the members of the officialdom and influences the behavioural pattern in them. The employees at workplace are able to socialise better and managers are able to monitor them in a crucially detailed way. The organisational communication can take place through various kinds of directions – upward, horizontally, and downward. There are various functions of organisational communication, which are as follows.
Leading – It is referred when the managers issue instruction to their subordinate to guide them.
Problem Solving – It refers to the discussion of operational activities to identify any drawbacks in them to be solved immediately.
Conflict Management – This is when all parties of conflict are brought together to resolve it and reach to a conclusion beneficial to both ends.
Gaining Compliance – Here, the employees are supposed to provide compliance to the organisation in order to accept the instructions of their job roles and duties.
In this article, the communication is described as the main pillar of any organisation in the economy. It states that good communication is essential for an organisation to display positive outcome in future. Research indicates that top management communication is achieved with effective organisational communication in the industry. The significance is provided to the term ‘communication climate’, which refers to the flow of communication at workplace. Supportive communication climate refers to the situation where there is openness in exchange of ideas and information whereas; defensive communication climate is exactly its opposite. This is largely influenced by the ambience exhibited by the organisation as well, if its structure is complex, more channels of communication would be required. Organisational communication has its measures which identifies three levels of it. The leadership level refers to the management where decisional roles are established and strategic changes are made. The functional level refers to the building of effective employee relations for efficient execution of tasks by them. The operational level refers to the employees on a more personal level. It helps them to process the given information and apply it to their area of work. Here their behaviour and attitudes are shaped in a way that it helps in the achievement of goals faster.
In this article the management of organisational communication is discussed thoroughly. The effective organisational communication demands a comprehensive strategy for it. It will help to maintain the consistency of the communication and establish the brand as an attraction for employment. Effective communication helps the employees to understand the working pipeline of the company, whereas ineffective communication causes misunderstandings, trust and image damage widely. Therefore, the construction of communication strategy involves appropriate budget, participation of strategic leaders and top managers, identification of communication channels and methods. Building a strategy helps to achieve constituencies, training activities, managing employee issues, dealing with external media and measuring outcomes or results.
In this book, the organizational communication is recognized as the foundation of all kinds of complex organizations in the economy. According to the authors of the book, organizational communication has four features, which are as follows.
Interdependence – Communication is a two way process, hence interdependence is derived from there. The members are affected and they create impact or effect on others. Any complex organisation is connected with tangled web of communication channels to initiate the process of sales and production.
Differentiation of tasks and functions – Communication at workplace helps to establish various roles and responsibilities according to the skills of various employees. It helps to understand their competencies and area of expertise and the distribution of tasks are done accordingly.
Goal Orientation – All organisations have a particular set of goals, which they wish to achieve to gain competitive advantage and long-term sustenance in the economy. This is achieved when the organisation is able to establish communication among every member within its infrastructure and motivate him or her to be willing to achieve the common shared goals of the organisation.
Control – Workplace communication helps the managers or responsible associates to monitor and evaluate the performance rate of subordinates. This is essential so that they can understand their weakness and strengths through the feedback provided to them
In this article, organisational communication is defined as the method to interpret messages at workplace by behaviours and symbolism – verbal or nonverbal. Various organisational theories have been developing since 1900s. The famous classical management theory describes that an organisation can achieve success through hierarchical communication structure where the task flows from top managers to low-level subordinates. Recent developments focus on the quality management of the organisation through effective communication. Organisational communication is applied with the exhibition of motivational theories of Maslow or Vroom majorly. Modern methods of workplace communication have brought a dynamic shift from fixed positions and specialised tasks to collaborative projects and flexible teams.
From the above discussion on organisational communication, I think that the economy can face dynamic growth with the application of customised communication theories. Business communication focuses on group dynamics within their infrastructure widely. It deals with the behaviour and attitudes of the members of these groups in order to extract optimised labour from them. It basically deals with the aspects and foundations on which these groups would be structured for the attainment of desired goals. Therefore, it has positive and negative aspects to it, which I will be discussing further.
The positive aspect of it is that it influences and initiates an effective production system within the organisation. The group formed by assessing the individual strengths and weakness helps its members to exploit each other’s qualities to achieve the goal set for them. For example if I am in a group where the work is to provide a detailed report on the marketing trends of the economy, The statistics part can be given to the person who is good with numbers, the assimilation of the report can be given to someone who has knowledge of creative writing.
The negative aspect of group can be if it becomes dysfunctional. This is due to the greed among members for being in charge; therefore, the focus is shifted from achieving goals to power struggle among members. Sometimes the group’s leader is not able to implement suitable leadership style as required by the current situation of the group, which leads to the decline of productivity. Therefore, I can say that the dynamics of the group formation in a workplace shall go through the steps of - forming, storming, norming, performing and adjourning for effective outcome.
It can be concluded that the significance of organisational communication in the field of business communication is essential. Any establishment can achieve competitive advantage and long-term sustenance in the economy with the application of various methods to imply organisational communication. It helps to build employee relations and establishes goals and tasks along with the understanding of individual’s power. The dynamics of group formed is essential to be understood for effective production and sales service initiation in the industry. Therefore, the importance of organisational communication is that it will allow an organisation to be successful in its subsector.
In order to improve the group dynamics through effective workplace communication, few recommendations are provided which can be followed by organisations in the economy to gain advantage over others.
