Information Technology for Business - Internal Assessment- 1

1 B) The executive information system is a decision support system used to assist senior executives of the organization in the decision-making process. It gives easy access to important data required for achieving the strategic goals of the organization. It can be used in different types of organizations to identify problems and opportunities. EIS is easy to use a graphical display system(Hsieh 2018). It is composed of four components named hardware, software, telecommunication, and user interface.

Characteristics of Executive Information system are: -

  • It provides access to rapid information and also gives direct access to the management reports of the organization.
  • It can access both internal and external data.
  • It also provides tools for analysis like trend analysis and market condition analysis and so on.
  • It summarizes and obtains detailed data for future decision making.
  • It typically helps to manage the problems in which there is a high risk.
  • It provides secure and confidential access to the reports and graphs of the organization.

Benefits of Executive Information system are: -

  • It has a strong capability to analyze the information.
  • It helps the management to take a prompt decision based on the data provided.
  • It helps the executive members to understand the information in a better way through graphs and tables.
  • It helps the organization to keep a track on the confidential information.
  • It offers efficiency to make accurate decisions for the organization.

C) Information requirement at different levels of the organization is not the same. It keeps on changing with the work of that particular department. For example - The operations department will contain information about day to day operations. Restricting the operational department with information related to operations makes it easy for both employees and managers to perform the task and to exercise control on the operations conducted in the organization respectively. It does not collect the information related to the cash utilized in the operations The lower level of the management takes care of the finance-related information(Singh and Geyer 2020). Similarly, the marketing department of the organization would keep information regarding the monthly, weekly, and yearly sales. The Human resource department of the organization has nothing to do with the sales and operations their information collection is based on the performance of the employees in the organization. At every level of the organization, there is a need for different information. Like tactical information is useful only to the middle managers of the organization for allocating resources to accomplish the top level plans.

2 A) Following are the disadvantage of ERP: -

  • The installation of an ERP system is very costly. Even ERP consultants are also expensive. They take 60 percent of their budget.
  • ERP system is difficult to use in comparison to other systems.
  • The efficiency of the software gets reduce when it is prohibited to share the information between different units of the organization.

B) Six supply chain drivers motivate supply chain sustainability. These include information, facility, inventory, transportation, pricing, and sourcing.

C) Transaction document is legal papers that are electronically presented, printed, mailed, or inserted. This document consists of mixed or variable data.

D) The electronic database system allows the integration of different sets of the information and combines them into a single data so that it can be retrieved when needed. The extent to which the information is combined from different applications in an electronic system is known as the extent of integration of information systems.

E) SAPR/3 covers the typical functions of the business in different modules. These modules are financial and controlling, production planning, human resource, sales and production, and material management.

1 A) Designing an MIS system in an organization is a very complex task. It can be only achieved when the copay makes a strategic plan for managing information in the organization. For designing MIS, it is important to understand five stages of the software development lifecycle because an MIS will go through all of these to become a part of the business. These include planning, analyzing, designing, implementation, and maintenance parts (Peppard and Ward 2016). Besides, another important work is to identify who is going to handle the information and manage the inputs of the business because a person who will be assigned will have some permission to handle the issues. It is thus important to define the permissions and provide them to the deserving candidate in the organization. It becomes more difficult for MIS to be installed in an organization with the legal framework because then the MIS system will not be able to share the detail of the daily operation with all the mangers which are its task. Many companies are using MIS in their organization these include Honda, IBM, and so on.

B) ERP and MRP software are closely linked to one another. The only difference between them is that MRP software focuses on manufacturing processes while ERP takes into account HR, CRM, and financial section. MRP software helps the organization in streamlining manufacturing efforts. It helps to plan and develop an estimate of the material used in the manufacturing of the product while ERP uses different modules to collect a large amount of data(Singh et al. 2020). ERP software is expensive in comparison to MRP as it is jam-packed with features.

ERP consultants specialize in enterprise resource planning and know-how to operates ERP software. They have a lot of skills like they can analyze the big data, can use the financial application, have good communication skills and leadership qualities required for managing work in enterprises.

2 A) Data reduction is a process of simplifying the data collected empirically or experimentally into useful information (ur Rehman et al. 2016). In order other, it can also be defined as organizing numerical, alphabetical, and digital data into a correct, ordered, and simple form. It is a concept to reduce the multitudinous amount of data into useful information.

B) Marketing information can be defined as a process in which data is collected, analyzed, stored, interpreted, and reported. This data is shared with the managers of the organization for making marketing decisions. It is this information that makes and unmakes the success of the organization.

C) CRM software is developed to manage the company’s interaction and relationship with its current and potential customers (Kin et al. 2020). This software helps in enhancing customer relationships through different processes like tracking leads, managing interaction, and streamlining the tasks.

D) There are two types of decision support systems that is model-based DSS and Data-based DSS.

Model-based DSSare standalone system and are not used in major corporate systems. These systems are used combined by strong theory and this makes it easy to use while Data based DSS can help analyze different types of data (Reymen et al. 2017). The data collected by this system is stored in warehouses. The main techniques used for analyzing data under this DSS are online analytical processing and data mining.

E) The role of customer relationship management is to set bold aspirations that are a clear vision to create a long-lasting relation with the customer. It is a CRM manager’s responsibility to execute a relationship strategy that helps in finding out which issues to be addressed and which opportunities to be pursued. It helps to create, manage, and lead a team by providing them mentoring and coaching.
