Date:  A meeting is going to be held on 5th June 2020, Friday.

Agenda: The main agenda of the meeting is to develop social activity within the workers of the company which can grow awareness among employees. The Company needs to know its staff for the betterment of the Company.

Venue: Conference room of office.

All the staff are informed to be present at the office that day. Minimum 10 Staff should represent the meeting. The meeting will start at 10:00 a.m. and will continue till 4:00 p.m. The notice will be e-mail before three days of the meeting among all the employees who have to be present at the meeting.

Preparation for meeting

Dear employee

The main preparation of the meeting is to inform all the staff about the meeting. All the staff should require having a laptop to enlist the minutes of the meeting. The preparation of a minimum seat of 10 staff of our company is needed. The main activities which should be done in this meeting are as follows:

Activity 1: To ensure that the meeting can spend only $500 on this purpose. Breakfast, lunch, and Tea are to be served for the employees within the budget of 10 to 15 dollars.  

Activity 2: as the meeting is to be held in the office conference room all the staff should be present with their particulars. All the required accessories should be present in the conference room to make the meeting successful. 

Activity 3: the minute details should get sign by the operational manager before the end of the meeting.

All the staff are informed to maintain the time of the meeting and should reach before the meeting. The conference room should be well protected so that no sound can surpass the conference room. Special care should be taken with the meeting minutes and should be checked before the end of the meeting. The draft of the minutes should be prepared to make the surety of the preparation of the meeting.

This meeting is to be conducted for the social activities of the team in our company. The staff should become more active and communicative among themselves. In the meeting, all the staff should properly communicate with each other and should communicate with the chairperson of the meeting as needed. This kind of meeting is helpful for a company to maintain its graph of profit and loss and at the same time requirement of the clients. During the meeting, the minutes of the meeting should be noted properly and before the starting of the meeting, the details of the previous meeting should be properly signed by the chairperson. In meeting the main points to be enlisted is the maximum interaction among the staff, their coordination with each other and at the same time with the management. They should properly cooperate with the operational manager during the meeting about social activities. It is a formal meeting and to make the staff aware of the importance of social activities among themselves. This meeting is helpful to maintain the coordination among the staff and management of the company.

  • The work atmosphere and the environment of the place are also discussed with the chairperson and it is sorted out that the remaining problems of the staff should be detailed out properly in the next meeting.

  • The result is that the chairperson and the staff both became communicative with each other.
