Introduction to Project Management

Project management is referred to as the process of managing the various aspects that are a part of a project and further make sure that the project is also to achieve the predetermined goals and objectives. Along with this, above sections will also highlight the key stakeholders for the event by using the power/ interest grid that would assist in the stakeholder analysis. Furthermore, the report will also discuss the key concepts as they apply to the event including the critical to customer requirements, critical to quality, and also the voice of the customers. Along with this, the report will also highlight and further explain the process that would be used to use lean management in the event. The report will describe the critical success factor to achieve the implementation of lean project management in the event.

Stakeholder Management

The management of the expectations of the stakeholders is one of the most important parts of the overall project. The management of the stakeholder's expectation requires effective communication with each of the stakeholders and further identifying their expectations. The process further involves the actions that are directed to meet the addressing issues, stakeholder needs, and the resolving of any conflict like the situation to achieve the goals of the project.

There are various sets of standards guidelines and terminologies in project management that have aimed to cover various aspects of the management of a project. PMBOK is one such guideline that is defines the project management body of knowledge. PMBOK has provided the process that can be used for the management of the expectation of the project stakeholders. In this respect, the process includes four key steps. The first step is the identification of the key stakeholders of the project. The stakeholder in this respect, includes all those who can be impacted by the activities, decisions, and outcomes of the project.

This ensures that the project manager to determine the key focus for the identified stakeholders and also for the determination of their expectations. The second step is the planning for the expectations where the resources required to meet the expectations are determined and the most suitable strategies for meeting up the expectation of every stakeholder is defined. The third step is the management of the stakeholder expectation where it is ensured that the project is being performed as per the needs and expectations of the stakeholders and the same are implemented effectively. The last step is the monitoring of the expectation of the stakeholders where the deviations if any in meeting the expectations is determined and the necessary steps are undertaken to improve them.

Key Stakeholders of the Event

The use of power and interest grid can be done to identify the key stakeholders for the event. The following is the power and interest matrix for the identification of the stakeholders of the ICC World tournament 2022:

  1. Event organizers- It includes the organizing committee of the ICC World Tournament 2022.
  2. Workforce- It will include the people working in the organizing team who share their roles and responsibility towards the event.
  3. Participating teams- The team that would participate in the matches in all the six cities.
  4. Commercial affiliates- It will include the sponsors of the event and the partners.
  5. Supply chain- It will include the companies that will produce products and services to support the event
  6. Audience- It will include people present at the stadium to view the match and the viewers over the Internet and television channels.

Some of the key terms as these apply to project management and specifically to an event include the Voice of the customer, critical to customer requirements, and critical to quality. The following will provide an understanding of the terms as these apply to the event:

1. Voice of the customers- The voice of the customer is defined as the feedback and the expectations as provided with the customer about the products and services (Aguwa et al., 2017). The voice of customers as it applies to the ICC World Cricket tournament 2022 stands for empowering the sports event where it can meet the needs and the customer expectations. Through the implementation of the voice of customers, the program committee would be able to ensure that customers are the centre of all the decision making taking place for the event. Furthermore, the voice of the customer would aim at delivering the most appropriate services during the event by ensuring optimum management.

Critical to customer requirements- Critical to customer requirements is another concept that aims to identify the customer expectations and further design the required products and services (Nurcahyanie et al., 2020). The lean project management philosophy, therefore, aims to reduce the activities that lead to the consumption of resources while not providing any value. It further aims to avoid the overuse of employees or machinery and also the decrease in productivity and efficiency (Mesa et al., 2019). Various practices have aimed to cover the aspect of lean project management that is explained as follows:

Organizational project management- Organizational project management provides for the framework of programs, project management, and portfolio to achieve strategies and goals of an organization (Görög, 2016). The following is the process from organizational project management that can be used to apply lean project management in the event:

  1. Business case- In the first step, the project of the ICC World Tournament 2022 would be evaluated as a business case where its desirability, achievability, and viability would be undertaken and studied.
  2. Organization- In this step, the key personnel that would be involved in the execution of the event would be highlighted. Furthermore, the step would also help in the definition of roles and responsibilities while stating the structure of accountability throughout the project.
  3. Quality- In this step, the factors that would have a direct influence on the quality of the services that would be delivered to the audience at the time of the event would be determined. The standards of quality would be defined and further used as a benchmark to evaluate performance at the time of monitoring. This would help reduce waste and at the same time adding maximum value to the event and its outcomes.
  4. Risk analysis- In this step the key risks that would have a direct impact upon the success of the event in various cities would be covered. This will majorly include the risk of an event such as rains that may temporarily halt the match and even postpone it. Furthermore, it also includes the risk of a terrorist attack and failure to procure materials and inputs at the right point of time. The risks would be identified and further, the control and uncertainty would be assessed in this step.
  5. Planning- This step will involve planning for the event where the activities of starting from the procurement of material to the closing of the event would be planned systematically. Along with this, the person responsible for each task would be highlighted and the activities that fall under their respective scope would be discussed.
  6. Change- This step involves the recognition, execution, management, and approving of the change that is linked to the baseline targets of the event.
  7. Progress- The last step is to monitor the targets and the activities that final ensure the delivery of services to the audience and successful completion of all the matches in each of the city.

Agile Practices

The agile practice has highlighted several processes that add to the aspect of managing a project. In this respect, the agile practices have provided a process that can be used to apply lean project management for the event. The agile aims at testing the activities of the project to ensure enhancement of project deliverables and its quality (Jorgensen, 2019). In this respect, the following process from agile will ensure lean management implementation:

  1. Identification of customer satisfaction through software
  2. Inculcating the changes in necessities and requirements
  3. Closing daily cooperation between people and business developers
  4. Building project around motivated and trusted people (Nurdiani et al., 2016)

Along with the above, the lean six-sigma (DMAIC methodology) is also helpful for the managers to apply lean project management effectively. The problems that are faced by the project manager or the committee would be supported by the DMAIC methodology. The following process would assist in the implementation of lean project management:

  1. Defining of issues- The step will ensure that the project committee has information about the key issues and the problems that can be faced while undertaking the event. This way the managers of the project would understand the way in dealing with the problems and further it would act as a source of reference for future events as well. The step will cover the needs of the stakeholder including the customers.
  2. Measuring the steps taken- The next step in the application of lean project management in this respect is the measurement of steps taken where the methods and the tools that can be used for the achievement of objectives and goals are to be defined.   4. Improvement- The next step in the process is improvement where it is very important for the manager of the project to undertake logical consequences for defining the strategies that are aimed to bring in improvement. The aim to add to the improvement in the structure along with the development of innovative solutions adds to the experience of the audience and the baseline measurement as well (Roberts et al., 2017).
  5. Controlling- The next step in the process to apply lean project management is controlling where it is helpful in the implementation of the strategies as well as the plans. The stakeholders are identified above must be considered and their expectations in the event should be taken into account. This way the project manager and the organizing committee would be able to measure the success.

Critical Success Factors

Along with the above, certain critical success factors need to be in place with the implementation organization to ensure the application of lean project management (Negrão et al., 2017). Some of the critical success factors are as follows:

  1. Leadership and management- Leadership and the management that directs the implementation of the lean process within the event would be a key critical factor of success. Effective leadership and management would ensure that the event is organized on predetermined time and schedule in each of the city and further meet the tournament's overall management objectives.
  2. Financial capability- The capability of the ICC board to meet the financial requirements of the event. The board will require funds to plan for the event including the procurement of supplies and also arranging facilities and services for the audience.
  3. Skills and expertise- Skills and expertise of the management and the organizing committee are other critical success factors. The skills and expertise of the team and committee will direct the success of the event.
